AI Agent on our Websites

[Privacy Policy Overview]  Some pages of our websites offer an AI agent that answers your questions about goals, models, and how our products can help. Please do not enter confidential or personal information into the agent. When you use the AI agent, we record the messages you send, the agent's replies and the documents it cites, plus details such as the time of day, a session identifier and agent response time. The conversation is also kept in your browser tab until you close it

We use these records only to operate the AI agent, prevent misuse and improve its answers. We do not sell them, and we do not share them with anyone outside Frontline Systems other than OpenAI as described below. We delete them after 90 days; a deleted record can remain recoverable for up to 7 more days. Access is limited to Frontline staff who administer the service. To limit overall AI usage costs, we track use from the same network address.

Your messages are sent to OpenAI, our current AI service provider, to generate the replies, with response storage disabled. OpenAI does not use API content to train its models unless it is explicitly shared for that purpose. It may keep content in abuse-monitoring logs for up to 30 days, or longer when required by law or reasonably needed to protect its services or others from harm, and may retain cached model states for up to 24 hours.
